HealthPathways COVID-19 Update – Friday 27 March

Today’s update covers:

  • localising your COVID-19 Service Impact page.
  • adding COVID-19 page scope statements.
  • adding the COVID-19 Recent Changes page.

We also remind you of the milestones for this week, at the end of this update.

We’re aware that our HealthPathways customers are triaging a lot of emails at present. Therefore, from next week we will only send COVID-19 response updates to programme managers and COVID-19 CEs and coordinators.

Localising your COVID-19 Impact on Local Services page

The method that health systems use to rapidly communicate service availability across the system is absolutely key to running a successful emergency response.

Local teams implementing HealthPathways in their region need to rapidly disseminate the latest information and this is an opportunity to increase engagement and reinforce HealthPathways’ role as “the local source of the truth”.

However, staying on top of system churn during a crisis is a big undertaking. Done well, it can directly influence traffic flows around the system. Western Sydney is an example of a HealthPathways team that has seen the importance of this work, and has assigned a person to focus on collating the information and feeding it through to Streamliners.

This information is now appearing as CE notes at the top of request pages, so that users can follow pathways as usual and easily see how to request services for their patient during the COVID-19 pandemic. Streamliners has developed a method for updating the content in these CE notes so that once the note is in the site, we can rapidly push content updates into them.

For a “whole of system” view, the same information is single-sourced into the COVID-19 Impact on Local Services page.

We asked Esra Kandan, Western Sydney HealthPathways Program Coordinator, for some tips:  "All the legwork is being done by Julianne, the HealthPathways Manager at WSLHD, and yourselves. I have simply forwarded the information from Julianne to Streamliners. One thing I will say is that we work cohesively as one team and communicate well. This has proven to be very beneficial, especially in exceptional situations such as this.”

Meanwhile, Western Victoria has taken a different approach, using the HealthPathways directory to maintain the service information themselves in their COVID-19 Impact on Local Services page.

We recommend that Programme Managers:

  • review what the exemplar regions have done.
  • consider what you can do to achieve a similar thing by Tuesday next week.
  • contact your lead writer if you need support.
Adding COVID-19 page scope statements

We’ve added new scope statements to each of the pages in the Base COVID-19 package, which clarify which page contains regional, national, state-wide, or international content.

They will appear on the Base and Canterbury HealthPathways live sites by tomorrow and also display on all New Zealand lead region COVID-19 pages.

We encourage all lead region and local HealthPathways teams to ask their lead writers to include these scope statements on your COVID-19 pages.

Adding the COVID-19 Recent Changes page

A small number of local HealthPathways teams are not including the COVID-19 Recent Changes page on their site on the basis that their users are not used to, or expecting, daily updates. User feedback from sites which do have this page has been extremely positive, with users grateful to be able to scan what’s changed in a rapidly-evolving situation.

We strongly recommend including this page in your COVID-19 Response Package.

Meanwhile, we have addressed some usability issues with the design of the page, and will roll this out to all the sites which are using the page early next week. Key changes include:

  • grouping updates by page instead of content owner, i.e. Practice Preparation, Assessment and Management, etc.
  • linking from the Last updated date in COVID-19 pages directly to the section of Recent Changes that applies to that page.
  • ceasing to record changes to the COVID-19 Impact on Local Services pages – this is unnecessary double-handling of this information, and is unlikely to interest the end-user audience for Recent Changes. We will continue to maintain the Last updated date on the Impact page, but remove the link.

This week’s milestones

Local HealthPathways teams
  1. Ask your lead writer to add the COVID-19 page scope statements and the COVID-19 Recent Changes page to your local COVID-19 response package.
  2. Start localising the COVID-19 Impact on Local Services page.
  3. Maintain your local COVID-19 response pages and resources, and work with your regional group lead COVID-19 CE to maintain shared content. Align the page titles to the Base page titles.
  4. Triage and respond to feedback from your local health system – see advice on how you can to look after your lead region COVID-19 CEs.
  5. Embed HealthPathways in your COVID-19 response – consider some of the ideas listed in a communications and engagement planning resource and discuss them with your steering group or executive sponsor.
  6. Keep engaging with your local clinicians to keep them informed and engaged of HealthPathways. This could include sending them a link to the video, HealthPathways - Helping you prepare and respond to COVID-19 (Vimeo).
Regional groups
  1. Ask your lead writer to add the COVID-19 page scope statements and the COVID-19 Recent Changes page to the lead region COVID-19 response package.
  2. Maintain your lead region COVID-19 response pages and resources, and work with the international COVID-19 CEs to align shared content. Align the page titles to the Base page titles.
  3. Triage and respond to feedback from regional HealthPathways teams.
  4. Keep local COVID-19 CEs up-to-date with the work being done in the regional group.
